Fees

Payment of Fees

Bookings and transfers will not be confirmed until all fees have been paid in full.

The course fees must be paid in full if documentation is required in support of a visa application. Students will not be permitted to start the tour unless full payment has been received.

Programme confirmation

We require a minimum of 5 confirmed guests booked onto a programme. If we cancel due to low numbers for your chosen programme, we will refund you in full.

Correct Information and Administration Charges

It is the responsibility of the parent, guardian or agency to inform us of any mistakes in the spelling of names during the registration period. We can only work with information that we are provided with and cannot be held liable for any discrepancies.

Once confirmation documents have been received, you have 72 hours to check them and inform us of any mistakes or issues with the documents. Following the 72-hour period, any necessary amendments to documentation will incur a £30 administration charge.

Bank Charges

UniYou Ltd is not responsible for any incurred charges when making a payment via bank transfer, credit card or any other means. All costs and/or charges must be covered by the payee to ensure that UniYou Ltd receive the full amount payable.

Refund Policy & Cancellation Policy

All refunds will be sent to the account to whom the fees were originally paid or to the individual from whom UniYou Ltd has received the original payment.

UniYou defines cancellation as the period prior to the start of the course. All cancellations must be made in writing by email to UniYou Ltd. The following refund policy applies:

  • 90 days or more before tour start date: Full refund of programme fees minus £500.00 deposit
  • 30-89 days or more before tour start date: 50% refund of programme fees minus £500.00 deposit
  • 0-29 days before tour start date: No Refund

The cancellation fee is per each individual booking

If a student’s visa application is rejected after payment has been received all tour fees will be refunded, within 28 days. This is provided we receive a visa refusal letter at least two working days before the course is due to start and the student has fulfilled all requirements for a visa application. No refund will be made if a visa rejection is based on a student’s failure to meet the necessary criteria for their chosen visa category.

Withdrawal Policy

UniYou Ltd defines withdrawal as termination of the course after the course has started. Any withdrawal must be made in writing by email to UniYou Ltd. No refund will be given if a decision is made to withdraw from the course after the course start date.

Use of mobile phones

Students are welcome to bring mobile phones. It is your responsibility to verify with your mobile carrier that roaming is possible in the UK, and what the charges are. We do not take responsibility for any charges you incur using a mobile phone in the UK

Semi-Supervised Time

It must be understood that students aged 15 to 17 may be given ‘semi-supervised’ time during some excursions. Semi-supervised time is when these students are given a set amount of free time to explore a set area, for example, a museum, a city or a shopping area. These students are only allowed to participate in this free time if they are wearing their wristband which contains our emergency phone number, we have their phone number and they are in groups of two or more. During this semi-supervised time, a meeting point that is constantly occupied by a member of staff will be established while other members of staff patrol the set area. Visas

Depending on which country you live &/or your nationality will determine whether you require a VISA to visit the UK to attend one of our tours. If you do require a VISA then a ‘Standard Visitor Visa’ is typical. All students who have paid in full are provided with a letter confirming their participation in the tour which includes details of the itinerary, travel and accommodation arrangements. This letter can be used to support your VISA application. Upon receipt of the letter you should visit the UK Embassy website in the country you are in to determine if a visa is needed. It is the responsibility of the attendee/parent or guardian or agent to obtain any necessary VISAs

Travel Insurance

Student travel insurance is not included in our package price. We therefore recommend that individual travel insurance policies are taken out by parents or the agency with who the student is booking.

Timetables tours & activities

Please note that all visits and activities on our published timetable are subject to change. All timetables published on the website are there as an example. A full confirmed timetable will be sent to you 2 weeks prior to the programme start date.

If an activity, excursion or university visit is changed we will do our upmost to replace with a comparable university, session or activity, but this is not guaranteed.

Our timetable may be affected by factors out of our control such as bad weather, tube/train strikes and transport delays, in which case some activities or university visits may be changed or cancelled.

University based activities are based on academic’s availability on the date of the visit.

Where possible university tours will be led by a person representing the university (i.e a student ambassador). As we run our programmes outside of term time some universities may not be able to provide staff or student ambassadors as tour guides, in which case UniYou Ltd staff will guide you on the university campus tour.

Medication Policy

Unless the medication is prescribed by a Doctor we cannot permit it.

Liability

UniYou Ltd, its staff and representatives will not be liable for loss, damage or injury to persons or property howsoever caused except where liability is expressly imposed by the law. UniYou Ltd will not be liable in the event that any service contracted to be supplied by UniYou Ltd becomes impossible to supply for any reason or any cause outside of our control.

Arrival and Departure Times

If no transfer is required and a student is using alternative travel methods to arrive at registration, i.e. the parent/guardian is bringing the student, please do so in line with the time slot you will be provided

Flight/Train Arrival and Departure Windows

Please note that we ask for flights or trains to be booked to arrive within the following time windows:

  • Please plan for your flight/train to arrive on arrivals day 8.00-17.00pm
  • Please book a return flight/train on the departure date between 8.00-19.00

Any flights or trains arriving outside of these time windows will incur a charge of £125 to pay for the necessary overtime that staff must work in order to facilitate these arrivals/departures.

Specific Accommodation Requests

We cannot take specific accommodation requests except for accessible room requests

Suspension and Expulsion

UniYou Ltd reserves the right to suspend and/or expel, without notice, any pupil whose conduct, in the opinion of the Programmes Director, becomes unacceptable for whatever reason. All fees including programmes cost, transfer and deposit for the remainder of the course will be forfeited. The parent/guardian must then cover any expenses incurred in returning a pupil to his/her place of home.

Drugs and Alcohol Abuse

UniYou Ltd has a strict no drugs or alcohol policy and we reserve the right to undertake random testing for the use of drugs and alcohol. Any positive result will be assessed at the discretion of the Tour Director who may suspend or expel the pupil concerned. This applies to students over and under the age of 18.

For our ‘Educational Professionals’ tours alcohol is permitted outside of the university visits during meals or during free time in the evenings in moderate amounts. Any adult deemed to be excessive in their alcohol consumption may be asked to withdraw from the programme.

Travel

UniYou is not responsible for any flights, trains or any other means of travel entering the United Kingdom.

Extra Night/s

As a tour company operating without a fixed venue, additional nights and arrivals outside the designated arrival window create significant extra cost and administration. These include, but are not limited to- staffing, food, safeguarding & pastoral care and accommodations. Therefore, we kindly request that you avoid booking extra nights.

We understand that travel disruptions or extenuating circumstances may make additional nights unavoidable. In such cases, a supplementary charge of £300 per night will apply

Lost Property

We cannot be held responsible for items or money lost by anyone on our programmes. We advise anyone joining our programmes not to bring any valuable items and where possible to use debit/credit cards rather than bringing cash. Any belongings or money which remain in the students possession are their own responsibility and although we will try our best to source any lost property, we cannot be held liable for these items. Any property that is found once the owner has left the tour will incur a postage and packaging charge should the owner wish for it to be returned and we therefore advise that all property is labelled with the students name.

Booking Confirmation

No booking is confirmed until a booking form has been completed and the full programme fees have been paid in full.

General Data Protection Regulation (GDPR)

The General Data Protection Regulation 2016/679 is a regulation in EU law on data protection and privacy for all individual citizens of the European Union and the European Economic Area. In order for UniYou Ltd to be compliant we must receive a GDPR consent form for all of our students. GDPR consent is included in the booking form. You can also read our privacy policy

Your image will be stored on our management systems to help staff identify members of the group. This will not be shared publicly without your permission.

As part of our agreement with the universities participating in our tours, we share participant information with them in advance for various purposes. These include safeguarding, risk assessments, session planning, accommodation arrangements, future higher education support, admissions, and marketing. The information shared includes your name, DOB, year of application, country of residence, nationality, school or organisation, and contact details. All universities we work with comply with GDPR regulations and will handle your information securely and respectfully
