What is your refund policy?

We book and pay ahead of time to external companies for excursions, accommodation and travel which means that we commit money in advance of the tour based on your attendance. For this reason, our cancellation policy is as follows:

  • 90 days or more before tour start date: Full refund of tour fees minus £500.00 deposit
  • 30-89 days or more before tour start date: 50% refund of tour fees minus £500.00 deposit
  • 0-29 days before tour start date: No Refund

UniYou defines cancellation as the period prior to the start of the course. All cancellations must be made in writing by email hello@uniyou.com

If a student’s visa application is rejected after payment has been received all programme fees will be refunded, including the deposit within 28 days. This is provided we receive a visa refusal letter at least two working days before the course is due to start and the student has fulfilled all requirements for a visa application. No refund will be made if a visa rejection is based on a student’s failure to meet the necessary criteria for their chosen visa category.

All refunds will be sent to the account of the UniYou representative to whom the fees were originally paid or to the individual from whom UniYou has received the original payment.

Can parents' book onto the university tours?

Parents can not book onto our summer tours. You can alternatively book a custom tour with us- please contact us.

How old do students need to be to attend the programmes?

  • Summer Tours – Age 15-18
  • Custom tours – Please contact us to discuss the details of your custom tour

Can I book and attend two tours in a row?

Yes, the tours follow on from each other meaning you can book and attend up to two tours in a row.

Can i get to know the other people joining the tour?

Yes, we provide our confirmed guests with a list of the other confirmed guests (with their permission). If you are from the same region you may decide to travel together.

Travel

How does the UniYou representative find us at the airport?

Prior to your arrival we request your flight number and mobile phone numbers. We will give you a pre-arranged point to meet in the arrivals area of the airport. You will also have the mobile phone number of the tour leader/s you are meeting.

Can I drop my young person off on the first day and pick them up?

Yes, of course and we would love to meet you. There will be an allotted time slot on each arrival/departure day for parents to drop off/pick up their young person

Can i join you for part of the tour?

Unfortunately, no, if you would like to book you need to commit to the full tour. If only part of the tour is of interest to you, you can create a custom tour.

How do you travel during the tour?

We use reputable coach & minibus companies. Certain parts of certain programmes may travel by overground train. Travel in London is via the London underground, river and bus network. We provide London travel cards for travel inside London.

Will i need a VISA?

Depending on which country you live &/or your nationality will determine whether you require a VISA to visit the UK to attend one of our tours.

If you do require a VISA then a ‘Standard Visitor Visa’ is typical. To find out whether you require a visa to travel within the United Kingdom (England, Scotland, Wales and Northern Ireland) see here

All guests who have paid in full are provided with a letter confirming their participation in the tour which includes details of the itinerary, travel and accommodation arrangements. This letter can be used to support your VISA application. Upon receipt of the letter you should visit the UK Embassy website in the country you are in to determine if a visa is needed.

It is the responsibility of the attendee/parent or guardian or agent to obtain any necessary VISAs.

Food & Drink

Where will we eat meals?

All of our tours are ‘full board’ which means three meals a day are included. Our students dine in restaurants, university eateries, cafes, food halls, street food markets and where catered- in student accommodation

Accommodation

Where will we stay?

For most of the tour, we stay in university student accommodation. This allows you to immerse yourself in the university community and get a firsthand feel for what living on campus might be like. At some universities, rooms are single occupancy, while others offer twin rooms; some have ensuite facilities, while others have shared facilities. 

When staying in university accommodation isn’t possible, we arrange comfortable twin rooms in reputable mid-range (3-star) hotels, such as Holiday Inn, Premier Inn, Best Western, Travelodge, or independent 3-star hotels and serviced apartments 

Accommodation varies based on which tour you have booked.  

Can I do laundry?

Most university accommodations have laundry facilities. We’ll include details on which accommodations offer laundry access in your pre-arrival pack, sent two weeks before your tour. This way, you can plan and pack accordingly

Safeguarding and Pastoral Care

My young person has a health condition &/or allergies

Once the booking form is complete and you have secured your place, we will request any medical/dietary information so we can put any necessary measures in place. Please do not bring any medication unless it has been prescribed by a doctor.

You can be confident that we will do our utmost to ensure you are safe whilst you are with us.

What would happen in a medical emergency?

As part of our tour risk assessments, we include the location of the closest hospital for each of our venues. We will contact parents or the emergency contact in the event of any medical concerns or a hospital visit. Also all of our tour leaders have first aid training.

How can I contact my child?

All guests are welcome to bring mobile phones. We provide parents/legal guardians with the details of where their young person is staying each evening, the mobile phone number/Whatsapp of the tour leaders and also the contact details of our director of programmes and safeguarding lead.

Will my under 18 be able to leave the group on their own?

Not on their own. Students aged 15 to 17 are given ‘semi-supervised’ time during some meal times and excursions. Semi-supervised time is when these students are given a set amount of free time to explore a set area, for example, a museum, theme park, a shopping mall or area of a city. These students are only allowed to participate in this free time if they are wearing their wristband which contains our emergency phone number, we have their phone number and they are in groups of two or more. During this semi-supervised time, a meeting point that is constantly occupied by a member of staff will be established. If you do not wish for your 15–17 year-old to have semi supervised time please contact us.

I am worried that this is my young persons first time away from home

When managed, risk assessed and safeguarded properly, educational tours are statistically one of the safest environments for students to be in. Every aspect of our programmes are planned and managed in detail. Homesickness can occur but usually passes after a couple of days. Staff are trained to support and keep guests safe and happy throughout the tour

What do your safeguarding measures include?

  • We have a designated safeguarding lead who is level 3 trained (the highest level in the UK)
  • A deputy safeguarding lead
  • All staff complete safeguarding training, first aid and risk assessment training & are trained in signs and supportive measures for homesickness & emotional wellbeing
  • Risk assessments are created for all activities, excursions, accommodation types and methods of travel
  • We adhere to safer recruitment procedures to guarantee the suitability of all our staff members working with children. This involves conducting thorough background checks and obtaining references for each individual.

How do you manage student safety?

Management of student safety:

  • All students are given a safety briefing during registration
  • All students are given a wristband which they must always wear. This includes the emergency phone number
  • During semi supervised time students aged 15-17 can be in groups no smaller than 2.
  • There will always be a designated meeting point at a set time.
  • All students and their parents/guardians will receive the rule and drug policy before booking
  • We require our guests to provide details of any medical conditions, food allergies, dietary requirements and other essential information before they arrive.
  • Our programmes are planned in detail and risk assessed accordingly
  • As part of our tour risk assessments, we include the location of the closest hospital for each of our venues. We will contact parents in the event of any medical issue or hospital visit.
  • We only work with reputable companies

Preparing for my tour

What happens prior to my arrival

We will request your medical, travel and next of kin information

We will ask you to complete a document about yourself and your aspirations for the future so we can best understand how to support you on the programme.

We will also give you some ideas of how to make the most of our university visits so that you can maximize the experience with us

We also send you a suggested packing list

Where consent is given, we share the name and contact details of the other people on the tour with you so you can make contact in advance should you choose to.

What should I pack?

Guests may bring one piece of luggage and one carry-on or backpack. We encourage you to pack light as we move locations throughout the tour. We ensure there are ample opportunities to do laundry so guests can wash and dry their clothes if needed.

Comfortable shoes, a light jacket and spending money are three of the most important items to remember.

How much spending money should I/my young person bring?

Students should bring an adequate amount of money for snacks, souvenirs and other discretionary spending.

Guests are responsible for their own spending money. We recommend that all students should carry any spending money in a money belt securely concealed under clothes. For adults over 18 we recommend you use a bank card, credit card or charge card.

Can i visit a university that is not included in the programme?

This is not possible as all our visits are planned, and risk assessed in detail ahead of time. If there are universities that you would like to visit which are not included in our programmes you can create your own custom tour
